Privacy Policy

SigBridge, Inc. ("SigBridge," "we," "us," or "our"), 80 Main Street, New Canaan, CT 06840, plans, supplies, installs and looks after workplace technology (WiFi, networks, security cameras, door access, business phones and computers) and runs office services for businesses and organizations. We operate the website sigbridge.ai (the "Site"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit the Site, book a visit or call with us, try our receptionist demo, or use our services. Please read this policy carefully. By accessing or using the Site, you agree to the terms of this Privacy Policy.
1. Information We Collect
Information you provide on the Site:
- Messages: your name, email address, phone number (optional), business name (optional), and message.
- Bookings: your name, email address, phone number, the time you choose, your notes, and, for an on-site visit, the address where we meet you.
- Receptionist demo: your business name, website address, location, contact email, the voice you prefer, and, if you choose, a mobile number and your consent to receive text messages from SigBridge. To build the demo, we read the public pages of the website you give us.
Information from customers of our services: When a business or organization ("Client Business") uses our services, we process information as needed to deliver them, including:
- Network and computer care: information about the devices we install or look after, such as device names, hardware and software details, update and security status, health and performance readings, and network activity summaries. Our technicians may connect to a device remotely to fix a problem.
- Security cameras and door access: camera footage is stored on the video recorder in the Client Business's building, and door access records are kept by the door system. We access footage or access records only to install, maintain, or troubleshoot the system, or when the Client Business asks us to.
- Backups: when we back up a Client Business's computers or accounts, copies of that data are stored so it can be restored, and are used for nothing else.
- Microsoft 365 security score: when a Client Business connects its Microsoft 365 account, we read its security settings to list the gaps.
- Office services: customer records, appointments, invoices, bookkeeping data, staff knowledge base content, and website content that the Client Business keeps in our tools, processed on its behalf.
- Receptionist and call data: when you call a Client Business whose phones are answered by our receptionist, we may collect your phone number (via caller ID), a real-time transcript of the conversation generated by automated speech-to-text processing, call metadata including date, time, duration, and call outcome, call summaries and action items, and call recordings if the Client Business has enabled call recording (see Section 6 below).
Information collected automatically on the Site: pages you visit, how you reach the Site (for example, the referring page, campaign tags in the link, or an ad click identifier), your browser and device type, approximate location derived from your IP address, and how you use the pages. See Section 3.
Payment data: If you pay an invoice or subscribe to our services, payment information (credit card, billing address) is collected and processed by our payment processor, Stripe. We do not store your full card details on our servers.
We do not ask for Social Security numbers or health information on the Site. Our services can reach what a Client Business keeps on its computers, email, bookkeeping, and backups, or what a caller says; we use it only to deliver the service.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To respond to your messages and schedule the visits and calls you book
- To plan, supply, install, monitor, maintain, and support the equipment and systems we provide
- To build and run your receptionist demo, and to text you the demo link if you asked us to
- To provide our receptionist service, including answering calls, booking appointments, taking messages, and transferring calls on behalf of Client Businesses
- To provide our office services on behalf of Client Businesses
- To communicate with you about our products and services
- To send transactional SMS or text messages on behalf of Client Businesses (see Section 5 below)
- To send invoices, process payments, and manage subscriptions
- To measure how the Site and our advertising perform and to improve them
- To comply with applicable laws and legal obligations
- To protect the security and integrity of our Site and services
3. Cookies, Analytics, and Advertising
Our Site uses cookies and similar technologies:
- SigBridge visitor analytics: our own analytics sets a cookie that lasts up to one year so we can count visits, see which pages people use, and connect a booking or message to the page, campaign, or ad that led to it. We keep it, except that a booking's ad click identifier goes back to the ad platform that sent you.
- Google Tag Manager and Google Analytics: we use Google Tag Manager to load analytics and advertising tags, and Google Analytics to measure pages visited, time on site, and referral source. See the Google Privacy Policy and how Google uses information from sites that use its services.
- Microsoft Clarity: we use Clarity to see how visitors use our pages, through usage data, heatmaps, and session recordings. Clarity and Microsoft Advertising may set cookies. See the Microsoft Privacy Statement.
- Advertising measurement: when you arrive from one of our ads, we may report a booking or message back to the ad platform (Google, Microsoft, Meta for Facebook and Instagram, LinkedIn, or Pinterest) so we can measure which ads work. We may also use these platforms' pixels or tags to show our ads to people who visited the Site.
- Cloudflare: Cloudflare serves the Site and protects it from abuse, and its bot check runs on our demo page.
You can block or delete cookies in your browser settings, and you can opt out of interest-based advertising in Google's ad settings, through the Digital Advertising Alliance, or in each platform's ad settings. You can also opt out of our advertising cookies and tags on our Your Privacy Choices page, linked at the bottom of every page, and if your browser sends the Global Privacy Control signal, we treat it as an opt-out. Parts of the Site may not work as intended without cookies.
4. Third-Party Services and Sub-Processors
We use the following third-party services to operate the Site and deliver our services:
- Twilio: Provides telephony (phone calls), SMS messaging, call recording infrastructure, and email delivery (SendGrid). Processes phone numbers, call audio, message content, and email addresses. Privacy Statement.
- Deepgram: Provides real-time speech-to-text transcription. Processes live call audio to generate text transcripts. Privacy Policy.
- Anthropic and OpenAI: Provide the AI language models behind our receptionist and office tools. Process call transcripts, business context, and, on some lines, live call audio to generate responses, summaries, and action items. Anthropic Privacy Policy; OpenAI Privacy Policy.
- ElevenLabs: Provides text-to-speech voice synthesis. Processes response text to produce the receptionist's voice during calls. Privacy Policy.
- Stripe: Processes invoices, payments, and subscriptions. Collects and processes payment card information, billing addresses, and transaction data. Privacy Policy.
- Cloudflare: Provides website hosting, content delivery, DNS, security, and bot protection. Processes IP addresses, browser type, and request metadata. Privacy Policy.
- Microsoft: Provides our email and calendar (Microsoft 365), Clarity analytics, and the connection to Client Businesses' Microsoft 365 accounts when they connect them. Privacy Statement.
- Google: Provides Tag Manager, Analytics, and Ads, and calendar sync for Client Businesses that connect Google Calendar. Privacy Policy.
- Zoom: Hosts the video calls you book with us. Privacy Statement.
- Ubiquiti: Makes the UniFi network, camera, door access, and phone equipment we install, and provides the cloud service we use to manage it. Privacy Policy.
- Intuit QuickBooks: Connects to our bookkeeping and invoice follow-up tools when a Client Business connects its QuickBooks account. Privacy Statement.
- Advertising platforms (Meta, LinkedIn, Pinterest): Measure our ads and show them to people who visited the Site, when we advertise there. Meta; LinkedIn; Pinterest.
We do not sell, rent, or trade your personal information for money. Some advertising tools may count as a sale or sharing under California or Connecticut law; see Section 11 for how to opt out.
5. SMS and Text Messaging
SigBridge provides transactional SMS and text messaging services on behalf of businesses that use our services ("Client Businesses"). If you interact with a Client Business that uses SigBridge (for example, by calling a phone line answered by our receptionist), you may receive transactional text messages related to that interaction. SigBridge also texts people who ask us to, for example the link to a receptionist demo they built on our Site.
Types of messages you may receive:
- Call summaries after speaking with our receptionist
- Appointment confirmations and reminders
- Invoice and payment reminders
- Service follow-ups related to your inquiry
- Your receptionist demo link, and texts you ask for during a demo call, if you checked the box on our Site
How your phone number is collected: Your phone number is captured via caller ID when you voluntarily call a Client Business phone number, when you provide it directly to the Client Business during the course of your business relationship, or when you enter it on our Site and check the box to receive texts from SigBridge.
Consent: By voluntarily calling a Client Business that uses SigBridge, you consent to receive a transactional follow-up text message related to your call. By checking the text message box on our Site, you consent to receive the texts described next to it. Client Businesses that import existing customer contact information represent that they have obtained proper consent from those individuals.
Opt-out: You may opt out of receiving text messages at any time by replying STOP to any message. You may also reply HELP for assistance. Upon opting out, no further messages will be sent to your number from that Client Business or from SigBridge, as applicable.
Message frequency: Transactional messages are typically 1 to 5 messages per interaction. Promotional messages (sent only with express consent) vary in frequency. SigBridge does not send unsolicited messages to individuals who have not opted in.
Costs: Standard message and data rates from your wireless carrier may apply.
Third-party messaging provider: SMS messages are delivered through Twilio, which processes phone numbers and message content for delivery purposes.
No mobile information sharing: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5a. Collections and Billing Reminder Data
When a Client Business enables our invoice follow-up service (Revenue Recovery), the following additional data is processed:
- Customer names and phone numbers from connected invoicing systems (e.g., QuickBooks)
- Invoice amounts and due dates
- SMS delivery status and opt-out preferences
This data is obtained from the Client Business's invoicing system with their explicit authorization. Phone numbers are transmitted to our SMS provider (Twilio) solely for message delivery. Customer data is retained only for the duration of the active billing relationship and is deleted within 30 days of invoice resolution or account closure. Recipients may opt out at any time by replying STOP.
No mobile information sharing: No mobile information collected for billing and collections purposes will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
6. Receptionist Calls and Call Recording
When you call a phone number that a Client Business has set up with our receptionist, or our demo line, your call is answered by an automated, AI-powered system. The following processing occurs automatically:
- Conversation: On most lines, Deepgram turns your voice into text, Anthropic's Claude answers, and ElevenLabs speaks the reply. On some lines, OpenAI's realtime model hears the call audio and speaks the reply directly, or Deepgram provides the voice.
- Call summary: After the call, a summary, transcript, and any action items are provided to the Client Business.
Call recording: Call recording is disabled by default. Client Businesses may choose to enable call recording in their settings. When recording is enabled, a consent announcement ("This call may be recorded for quality and training purposes") is played at the beginning of the call before the receptionist answers. Call recordings are stored by Twilio and are accessible to the Client Business. If you do not wish to be recorded, you may disconnect the call after hearing the announcement.
Transcripts without recording: Even when call recording is disabled, a text transcript is generated from the live conversation via real-time speech-to-text processing. This is how the receptionist takes part in the conversation and is necessary for the service to function. No audio recording is stored when recording is disabled.
7. AI and Automated Processing
SigBridge uses artificial intelligence and automated processing in the following ways:
- Receptionist: Incoming calls are answered and handled by an automated system without human intervention. It can answer questions, book appointments, take messages, and transfer calls based on the Client Business's configuration.
- Call summaries: After each call, a summary of the conversation is generated, with action items and the caller's sentiment.
- Automated SMS follow-ups: Transactional text messages (such as call summaries or appointment confirmations) may be triggered automatically based on the content of your call.
- Receptionist demo: The demo reads the public pages of the website you give us to set up a receptionist that answers like your business.
- Private office assistant: When a Client Business uses our private office assistant, it runs on a computer installed in the Client Business's office and processes the Client Business's data on that computer.
These automated processes do not produce legal or similarly significant effects on callers or visitors. They provide informational and scheduling services only. No automated decisions are made regarding creditworthiness, employment, insurance, or other legally consequential outcomes. 8. Data Retention
We retain personal data for the following periods:
- Call transcripts and summaries: Retained for the duration of the Client Business's active subscription, plus 90 days after account closure.
- Call recordings (when enabled): Retained for 12 months from the date of the call, after which they are automatically deleted from Twilio.
- Caller phone numbers and metadata: Retained for the duration of the Client Business's active subscription, plus 90 days.
- Device, monitoring, support, and backup records: Kept while we provide the service, then deleted or returned as the Client Business's Order provides.
- Messages, bookings, and demo submissions from the Site: Retained for 24 months unless deletion is requested.
- Billing and payment records: Retained as required by applicable tax and accounting laws (typically 7 years).
- Collections and billing reminder data: Deleted within 30 days of invoice resolution or account closure.

9. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect the personal information we collect. Our Site is served over HTTPS, and form submissions are transmitted securely. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.
10. Your Rights
Depending on your jurisdiction, you may have certain rights regarding your personal information, including:
- The right to access the personal information we hold about you
- The right to request correction of inaccurate personal information
- The right to request deletion of your personal information
- The right to withdraw consent where processing is based on consent
- The right to object to or restrict certain processing of your personal information, including targeted advertising
- The right to data portability where applicable
- The right to not be subject to decisions based solely on automated processing that produce legal effects (see Section 7)
To exercise any of these rights, please contact us at [email protected]. We will respond to your request within 30 days. If we deny your request, reply with "Appeal" and we will answer within 60 days; if you are not satisfied, you may contact your state attorney general (in Connecticut, the Office of the Attorney General). If you are a customer of a Client Business, we may refer your request to that business, which decides how its own records are used.
11. California and Connecticut Privacy Rights
If you are a California resident, you have the following additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA). Connecticut residents have similar rights under the Connecticut Data Privacy Act, including the right to opt out of targeted advertising and sale, and may use the same contact details:
- Right to know: You may request the categories and specific pieces of personal information we have collected about you in the past 12 months.
- Right to delete: You may request deletion of personal information we have collected, subject to certain exceptions.
- Right to opt out of sale or sharing: We do not sell your personal information for money. Some advertising tools (Section 3) may count as a sale or sharing under California or Connecticut law. To opt out, use our Your Privacy Choices page, send the Global Privacy Control signal from your browser, or email [email protected] with the subject line "Do Not Share."
- Right to non-discrimination: We will not discriminate against you for exercising your privacy rights.
To submit a request, email [email protected] with the subject line "California Privacy Request." We will verify your identity and respond within 45 days.
12. Children's Privacy
Our Site and services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete such information promptly. 13. Links to Other Websites
Our Site may contain links to third-party websites or services that are not operated by us. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party websites or services. We encourage you to review the privacy policy of every site you visit.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make changes, we will revise the "Effective Date" at the top of this page. We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information. Your continued use of the Site after any changes to this Privacy Policy constitutes your acceptance of the updated terms.
